Our AstraZeneca Nordic Marketing Company employs around 550 people and has offices located in Oslo, Stockholm, Copenhagen, and Espoo. We are looking to appoint someone to this exciting split role opportunity - External Events Planner Oncology Business Unit, Sweden (50%) supporting our Oncology team in Sweden in the execution of local meetings, activities and events. Executive PA (50%) supporting the Head of Oncology, Medical Affairs Director & Oncology Leadership Team (OLT). The role will be located in Stockholm.
What you will do
Within your External Event Planner responsibilities, you will coordinate and support execution of meetings and events, such as speaker-led meetings, scientific meetings, and advisory boards, and ensure local context, language, and adaption to processes when planning of those events. You will work closely with different internal and external stakeholders and assure that all tasks are of correct quality and in accordance with written procedures, current legal requirements, and internal standards. You are flexible with the ability to coordinate multiple tasks for different teams and functions simultaneously. You prioritize tasks and you clearly communicate expectations and deliveries to optimize the collaboration with your customers and colleagues. You have a good overview of the details - as well as the overall objective - which gives a good basis for driving continuous improvements in your daily work. You will feel at your best in this position if you are self-motivated, solution oriented and interact independently with both internal and external stakeholders in the planning of customer engagements.
Within your capacity as Executive PA and support to the Oncology Leadership Team you will support with:
  • Appointment coordination, appointment scheduling/rescheduling and tracking - Head of Oncology & Medical Affairs Director
  • Travel planning, travel booking and expense accounting - Head of Oncology & Medical Affairs Director
  • Preparation of documents, presentations and meetings
  • Support to internal OBU Meetings for example OBU Townhalls, Medical Townhalls, Oncology Leadership Team Offsite, Oncology Medical Leadership Team Offsite & Oncology Conferences - venue, restaurant, vendor set up, speaker contracting
  • Coordination of non-tumour area specific Congresses

What we need from you
You will be the point of contact for different functions within the organization. Strong communication skills and partner management are hence essentials.
To be proficient in English completed with one other fluent Nordic language are required.
To show a track record of activities' coordination involving multiple partners, internal and external processes and systems preferentially from the pharmaceutical industry is expected to be at ease in the role.
- Specialist with knowledge in relation to administrative/ business support activities in the relevant area
- Preferably having experience as Sales and Marketing Assistant and/or functional assistant work
- Excellent communication and presentations skills
